Frequently asked
questions.
Quick answers to common questions about InvoiceMate.
Plans & devices
Is InvoiceMate free?
Yes. You can send unlimited invoices and quotes, keep your clients and track expenses for free. The free plan also includes 10 receipt scans a month.
You only pay if you want more. Pro adds sync between devices, the web app, more than one business, tax reports and unlimited receipt scans. Tax Pack adds tax reports and Xero export for tax time.
How much does it cost? Is there a free trial?
Pro is $5.99 a month or $49.99 a year. Tax Pack is $9.99 a year. Prices are in Australian dollars.
If you haven’t had Pro before, your first month is free on both monthly and yearly. You’re only charged after the free month. To upgrade, open Settings > Plan.
How do I cancel my subscription?
Apple or Google bills your subscription, so you cancel it there. On iPhone, open Settings, tap your name, then Subscriptions. On Android, open Google Play, tap your profile picture, then Payments & subscriptions > Subscriptions.
Your plan keeps working until the end of the time you’ve paid for. Your records stay in the app, and you can still export them for free. If you subscribed in the web app, email us and we’ll help you cancel.
Can I use InvoiceMate on my computer?
Yes, with Pro. Go to portal.invoicemate.one and sign in the same way you sign in on your phone. If you use Sign in with Apple on your phone, use Sign in with Apple on your computer too.
Your records come from cloud sync, so check that sync is on in the app first. Open Settings > Data & Sync.
I have a new phone. How do I keep my plan and records?
Install InvoiceMate and sign in with the same account as before. If your plan doesn’t show up, open Settings > Plan and tap Restore.
Your records move to the new phone only if cloud sync was on, which needs Pro. Before you switch, open Settings > Data & Sync on the old phone and tap Sync Now. On the free plan, records are saved only on the phone you used.
Invoices & quotes
How do I create and send an invoice?
Open Invoices, tap + and choose Manual. Pick a client, add your items, and check the dates and total. Tap Preview PDF to see what your customer will get.
Tap Send Invoice. Choose Email to send it from your mail app, or Others to share it with WhatsApp, WeChat, Messages and so on. The invoice is only sent when you press send in that app.
Why can’t I email an invoice?
Check that the client has an email address. Open the client and add one if it’s missing.
Your phone also needs a mail app that you’re signed in to, such as Mail, Gmail or Outlook. If email still won’t open, tap Send Invoice > Others to share the PDF another way, or tap Download PDF and attach it yourself.
How do I mark an invoice as paid?
Open the invoice and tap its status. Choose Paid if your customer paid in full.
If they paid part of it, choose Partially Paid, enter the amount you received and tap Save Partially Paid. To change the payment date, tap the date on the invoice. This only records the payment in InvoiceMate. It doesn’t take money from your customer.
How do I turn a quote into an invoice?
Open Invoices > Quotes and pick the quote. Tap its status, choose Accepted, then tap Convert to Invoice. InvoiceMate creates a draft invoice for you to check and send.
Each quote can be converted once. If you’ve already converted it, tap Open invoice to find the invoice.
Why can’t I change my invoice number?
Once an invoice is issued, its number is locked to keep your records in order.
Before that, you can leave the number blank and InvoiceMate fills it in, or type your own. Each number can only be used once in a business, even if the old invoice was deleted. If the app says the number is waiting for sync, connect to the internet and open Settings > Data & Sync.
Business details & templates
How do I change my business name, ABN, address or logo?
Open Settings and tap your business at the top. Update your details and save. Open an invoice preview to check how it looks.
Invoices you’ve already sent won’t change. If a customer needs your new details, send them a new PDF.
Do I need to be registered for GST to use InvoiceMate?
No. If you’re not registered for GST, leave Registered for GST turned off and your invoices won’t add GST.
If you are registered, open Settings, tap your business and turn on Registered for GST. Your invoices will then include GST.
Why did the total change when I typed a price?
Each item has a Price tax treatment. inc. GST means the price already includes GST. excl. GST means GST is added on top. GST-free means no GST.
To change what new items use, open Settings, tap your business and change Default price tax treatment. Items you’ve already added keep their setting.
How do I change the invoice design or colour?
Open Settings > Invoice template. Swipe to see the designs and choose a colour.
Tap Use this template to save it. If you only changed the colour of the design you already use, tap Save colour.
Why aren’t my bank details on the invoice?
Open Settings > Payment Details. Turn on Payment Details, fill in your bank details and tap Save Changes.
Open the invoice preview again to check. If you downloaded the PDF before, download it again.
Bills & receipts
How do I add an expense or receipt?
Open Bills and tap +. Choose Snap to take a photo of a receipt, File to pick one you’ve saved, or Manual to type it in.
Check the amount, date, category and GST, then tap Save Bill.
The receipt scan got the amount wrong. How do I fix it?
Fix it in the form before you tap Save Bill. Scanning gives you a head start, but always check it against the receipt.
Already saved it? Open the bill in Bills, tap Edit and correct it.
Why can’t I scan a receipt?
Scanning needs an internet connection and you need to be signed in. The free plan and Tax Pack include 10 scans a month. Pro has no limit.
Use a clear photo, or a PDF, JPEG or PNG file. You can always choose Manual, type in the details and attach the receipt yourself.
What is Business Use Percentage?
Use it when a bill is partly personal. For example, if half of your phone bill is for work, enter 50.
Reports then count only that share of the cost and GST. The bill still shows the full amount on the receipt.
Reports & tax time
Why is the income in Reports different from my invoices?
Reports count money you’ve been paid. Draft and unpaid invoices aren’t included, and a part-paid invoice only counts the amount paid.
Income is counted on the date you were paid. Also check the Timeframe at the top of Reports, and whether you’re comparing an amount without GST to an invoice total that includes GST.
How do I send reports to my accountant?
Open Reports and tap Export Reports. Choose the financial year and the reports you need, then tap Export. Save the file or send it.
You get a ZIP file your accountant can open in Excel. InvoiceMate doesn’t lodge your BAS. You or your accountant still do that with the ATO.
Why are some reports locked?
Reports marked PRO need Pro or Tax Pack. You can check your plan in Settings > Plan.
Asset / Depreciation Report isn’t available yet on any plan.
Your data & support
Why don’t my records show on my other device?
Sync between devices needs Pro. Sign in with the same account on both devices and choose the same business.
On the device where you added the records, open Settings > Data & Sync and tap Sync Now. Records appear on your other devices after they’ve synced.
What do Pending and Needs attention mean?
Pending means some records are waiting to sync. This usually clears once you’re online. Open Settings > Data & Sync and tap Sync Now.
Needs attention means a record can’t sync until something is fixed, such as an invoice number that’s already used. Tap the count to see which records. Don’t delete the app on that device until it’s sorted. If you’re stuck, send us a screenshot.
Can I use the app without internet?
Yes. You can create and edit invoices, clients and bills offline. You need internet to scan receipts, sync and send emails.
If you use sync, a new invoice may need internet before it gets its number. Your draft stays on your phone until then.
How do I download all my data?
Open Settings > Export Data. You get one ZIP file with all your business records. It’s free on every plan, even after you cancel.
On Pro and Tax Pack, you can also export invoices and bills ready to import into Xero.
How do I delete my account?
Open Settings > Account and tap Delete Account. This permanently deletes your InvoiceMate cloud data, including invoices and uploaded files. It can’t be undone, so export your data first if you might need it.
Deleting your account doesn’t cancel an App Store or Google Play subscription. Cancel that separately. You can also email us to ask for your account to be deleted.
How do I get help?
In the app, open Settings > Send feedback. Tell us what you were doing and what went wrong, add a screenshot if it helps, then tap Open in Mail and send it.
You can also email info@goldfintech.com.au. Please include the app version, which is shown at the bottom of Settings.
